Quoted, not paraphrased
The mandatory conditions come from Schedule 3 of the Licensing of Short-term Lets Order 2022, as amended. LetKeeper shows each one exactly as the legislation words it, with the paragraph number and a link to the official text on legislation.gov.uk, so you can always check the source yourself.
“Where the premises has a gas supply— (a) the holder of the licence must arrange for an annual gas safety inspection of all gas pipes, flues and appliances in the premises, (b) if, after an annual inspection, any appliance does not meet the required safety standard, the holder of the licence must not allow a short-term let of the premises until the works necessary to bring the appliance to the required safety standard have been carried out.”
The Civic Government (Scotland) Act 1982 (Licensing of Short-term Lets) Order 2022, Sch. 3 para. 5. Official textThe conditions are kept as data, each with a version and the date it took effect. When the law changes, the conditions are updated and checked against the official source, and the app picks up the change.
Only the conditions that apply
Not every condition applies to every property. When you add a property, LetKeeper asks a few plain questions, such as:
- Does the property have a gas supply?
- Is the property served by a private water supply?
- Is the property in a short-term let control area?
- Does the property need an Energy Performance Certificate?
A condition that doesn’t apply says so, with the reason, rather than disappearing. You can change your answers at any time.
LetKeeper covers all 32 Scottish councils. Where a council publishes its own guidance on top of the national conditions, LetKeeper adds that too: North Ayrshire and the Scottish Borders so far, with more to follow.
A status for every condition
Each condition shows where it stands, in words and with its own symbol, so nothing depends on colour alone:
- ✓ In date
- ◷ Due soon
- ⇪ Evidence missing
- ! Overdue
- ⊘ Not safe to let
The status is worked out on LetKeeper’s servers from the evidence you hold and its dates, not typed in by hand. The property’s overall status is the most urgent of its conditions, so the home screen tells you at a glance which property needs attention.
Evidence, kept properly
Photograph it
Take a photo of a certificate or choose a PDF. LetKeeper reads the dates on your phone and asks you to confirm them. Nothing is sent to an outside service to read it.
Never overwritten
A new gas report supersedes the old one instead of replacing it, so the history is always there. Every change is recorded with who made it and when.
Ask a contractor
Send a link to the person who did the work. They upload the certificate without an account, and it waits for your approval before it counts.
Reminders
LetKeeper reminds you before a certificate falls due, and in good time before the licence itself needs renewing.
Registers
Keep a register of smoke, heat and carbon monoxide alarms, with each one’s replace-by date, and of upholstered furniture and mattresses.
Your own items
Add anything else you want to track, such as a boiler service or a council’s extra requirement, with its own dates and evidence.
LetKeeper tracks evidence against published licence conditions. It is not legal advice: the licence holder remains responsible for compliance. Always check your licence and your council’s guidance.
